Information sheet regarding personal data pursuant to Art. 13 and subsequent modifications thereto, EU Reg. 2016/679 – Publication of photos and audio/video recording

Data controller

The personal data controller, in the person of its Director, is the Scuola Normale Superiore, Piazza dei Cavalieri 7, Pisa (email: direzione@sns.it), which – subject to informed commitment to specific obligations of confidentiality and privacy – hereby authorises the research personnel of the SNS Communications Office in accordance with the ethical regulations for data processing for the purposes of scientific and statistical research issued by the Guarantor Authority for data protection.

The information sheet herein is issued to you as a “data subject”, in accordance with Art. 13 of EU Regulation 2016/679 (hereinafter GDPR).

Categories of data processed

Personal data to be processed are the following:

a) common data: photos and audio/video recordings.

Purposes and juridical basis for data processing

Personal data as referred to in point 3 will be processed, subject to the data subject's free and specific consent, in full compliance with the principles of legitimacy, correctness, transparency, limitation of purposes, minimisation and accuracy of the data (in conformity with Art. 5 of the GDPR), for the sole purpose of furthering the institutional aims of the Scuola Normale Superiore.

Hence the juridical basis for the processing of data is the consent of the data subject, in accordance with Art. 6, par. 1, letter a) of the GDPR. Consent may be freely revoked at any moment without compromising the legality of the processing based on consent prior to revocation (Art. 7, par. 3, GDPR).

Processing modes, period and place of conservation

In relation to the purposes indicated, the processing of the personal data collected may be manual or else with the aid of computer, electronic or in any case automatised devices and may consist, alternatively or jointly, of operations of registration, conservation, organisation, processing, selection, comparison, extraction, communication, cancellation or destruction of the data.

Data are collected in loco on a PC belonging to the Scuola Normale Superiore and are conserved in encrypted folders with access limited to informed and authorised personnel.

Photos / audio-video recordings may be disseminated for the purposes of teaching, scientific and third mission communication and dissemination also on the social network channels of the Scuola Normale Superiore.

Rights of the data subject

The GDPR confers to the data subject the exercising of specific rights (where applicable), including:

• the right of access (Art. 15),
• the right to rectification (Art. 16),
• the right to cancellation (Art. 17),
• the right to the limitation of the processing (Art. 18),
• the right to portability (Art. 20),
• the right to opposition (Art. 21),
• the right to opposition to the automatised decisional process (Art. 22).

To exercise their rights, the data subject can refer to the data controller, by sending an e-mail to the SNS Communications Office, at the e-mail address: comunicazione@sns.it.

If the necessary conditions are met, the data subject has the right to lodge a complaint with the Authority for verification of residence status (Art. 77 GDPR), in compliance with the procedures specified in Art. 142 of Legislative Decree No. 196/2003, amended with Legislative Decree No. 101/2018.

Giving their consent to the processing of their personal data, the data subject authorises the production and use of photographs, videos or other audiovisual materials concerning theirself; in particular, the data subject authorises the release of all audio/video recordings under the free licence “Creative Commons Attribution 3.0 Unported” and their dissemination through the communication channels of the Scuola Normale Superiore.

The data subject also declares that s/he is aware of the terms of the above mentioned licence, and in particular:

• S/He permits the reproduction and distribution of all recordings in their entirety or in part;
• S/He retains copyright in any case of all materials to which I have the right;
• the licence does not affect any other rights of any nature, such as moral rights and those exceptions envisaged by the copyright laws;
• the licence is not retractable;
• the exposure and use of photographic images is free of cost.

Under no circumstances can, the data subject, claim compensation from the Scuola Normale Superiore for any moral or material damage caused by third parties or resulting from usage not specified in this waiver. This waiver is issued in accordance with the copyright protection law (Law 633/1941)
